Trip Booking Terms and Conditions

1. The Contract & General Rules

  • These terms and conditions legally govern the relationship between the client and Eve Holidays (P) Limited (hereinafter referred as “The Company”), Registered Company Number 179950 and Nepal Government Ministry of Tourism License No 2573.
  • By booking a trip, you explicitly agree to be bound by these specific Terms and Conditions.
  • These current terms and conditions apply strictly for direct bookings made with Eve Holidays.

2. Booking, Deposit and Final Payment

  • Deposit Requirement: A non refundable deposit of 20% of the total trip cost is required at the time of booking.
  • Confirmation: Your booking is confirmed only after we receive this deposit and issue a confirmation invoice.
  • Non-Refundable: All deposits are strictly non-refundable and non-adjustable in the event of a voluntary trip cancellation for whatsoever reason.
  • Final Payment: For Nepal, the remaining balance can be paid once you arrive in Nepal in cash USD or by card before your trip departure. For Bhutan and Tibet, the remaining balance must be paid at least 30 days before the trip departure date. Payment by card requires extra 3.5% bank fees to be borne by the client.
  • Late Bookings: For Nepal trips last minute late bookings are accepted.  
  • No Show or incomplete trip: No refunds for unused services are given for late arrivals, missed departures, leaving the trip incomplete for any reason or engaging in unlawful activities leading to leave the trip.

3. Trip Postponement and Rescheduling

  • Postponement Policy: Travelers can postpone their booked trip instead of fully canceling.
  • Written Notice: You must inform us of your wish to postpone in writing at least two weeks before the original departure date.
  • Credit Adjustment: If notice is given two weeks prior, we will adjust the full deposit amount toward your rescheduled trip to Nepal.
  • Deposit Protection: Under this policy, you do not lose your deposit, and it remains valid for your future booking.
  • No Immediate Commitment Required: Selecting your new travel dates right away is not required.
  • Lifetime Deposit Security: Your deposit converts into a non-expiring, lifetime travel credit.
  • Universal Trip Application: The secured credit applies to any future itinerary you choose.
  • Official Postponement Mutual Agreement: Credit is locked in once both parties agree to postpone.
  • Per-Person Credit Allocation: Credit applies individually, allowing future group sizes to change.

4. Unforeseen Circumstances

For disruptions beyond our control, such as natural disasters, riots or government restrictions, trips are non-refundable, but we will hold your unused payment as a lifetime trip credit. You can use this credit toward a future, mutually agreed-upon itinerary in Nepal, subject to availability or you can use your remaining credit taking another trip in the same visit.

5. Travel Insurance

  • Mandatory Coverage: Comprehensive travel insurance is mandatory for all clients.
  • Specific Clauses: Insurance must cover medical expenses, personal accident, injury and emergency helicopter evacuation.
  • High Altitude: Your policy must explicitly cover trekking up to the maximum altitude of your chosen itinerary (e.g., up to 6,000 meters).
  • Trip cancellation is also suggested

6. Passport, Visas, and Health

  • Passport Validity: Your passport must be valid for at least 6 months beyond your trip completion date.
  • Visa: Obtaining a tourist visa to Nepal is the sole responsibility of the client. For Tibet & Bhutan, the company make necessary arrangements upon request. 
  • Medical Fitness: You certify that you are physically fit and have no medical conditions that could endanger yourself or others during the trek.

7. Risk and Domestic Flight Delays

  • You understand and accept the assumption of risk of illness, injury etc as high-altitude trekking in Nepal involves inherent risks like acute mountain sickness (AMS), rugged terrain, and remote medical facilities.
  • Mountain adventures are completely unpredictable, and bad weather in mountain regions can cause flight delays and cancellations even in the best season.
  • In the case of delayed domestic flights, the client is entirely responsible for bearing all additional expenses, including extra food and accommodation costs and missed international flight.
  • If you wish to make alternative arrangements (such as a helicopter flight) to avoid domestic flight delays, the company will help organize it, but all additional costs are your responsibility.
  • In such cases where trips do not run as scheduled, you can choose to take another trip for remaining days, or do the remaining days of trek when flight is available, or take a helicopter to skip the domestic flight paying for it.

8. UPDATING OF TERMS AND CONDITIONS

The Company reserves the right to update and amend these terms and conditions at any time. It is the responsibility of the Client to keep updated with any changes.
